Setting Up a Compliant U.S. Return Address for Your Mailings

Who this is for: Customers mailing through Postalytics who don't have a U.S. street address of their own, including international companies, remote teams, or businesses in the process of establishing a U.S. presence.

Why you need one

Every piece of mail sent through Postalytics requires a return address. This isn't just a Postalytics setting, it's a USPS requirement tied to how commercial postage works. Mail sent through a commercial postage account is required to carry a domestic (U.S.) return address, and it needs to be a real address that can accept mail, not just text on the page.

If your business is based outside the U.S. or doesn't have a physical U.S. address, you'll need to set one up before you can mail. The good news: this is a common situation, and there's a fast, inexpensive way to solve it.

Your two options

Option 1: A USPS PO Box

You can open a PO Box directly with USPS. Keep in mind:

  • Two forms of ID are required, and USPS asks for a physical (non-PO-Box) address on file, which can be a hurdle if your business doesn't have one.

  • Someone typically needs to visit a U.S. post office in person to complete setup.

  • A PO Box can't receive packages from FedEx, UPS, or Amazon, only USPS mail.

For most customers in this situation, Option 2 is simpler.

Option 2: A virtual mailbox service (recommended)

A virtual mailbox gives you a real U.S. street address, not a PO Box number, along with online tools to see and manage your mail remotely. These services are run by USPS-authorized private companies (called CMRAs), and setup takes a notarized form (USPS Form 1583) that most providers walk you through as part of signup.

What to do with your new address

Once your virtual mailbox or PO Box is active:

  1. Use that address as the return address on your Postalytics mailings.

  2. Keep in mind that undeliverable mail, and any recipient responses, may come back to that address, so choose a provider with mail scanning or forwarding if you want visibility into what arrives.

  3. If you're also setting up a U.S. business entity or bank account, ask your provider whether the address works for those purposes too. Most virtual mailbox addresses are widely accepted for this, but requirements vary by bank and state.

Set it as your default return address

Once you have a valid U.S. address, whether it's your own office, a PO Box, or a virtual mailbox, add it to your Postalytics account so you don't have to enter it manually every time.

  1. Log in to Postalytics and select Profile under your username.

  2. Enter your organization's address in the Address information section.

  3. Click Save Profile.

This address becomes the default Sender Address that's automatically pulled into every new campaign you create, so you don't have to re-enter it (or risk a typo or missing field) each time you build a mailing.
